How do I create a registration deadline for my event?

To set a registration deadline for your event in Ticketbutler, you can do the following:
  1. Enter it in the event description of your event under "Edit event"
  2. Insert an event end time (under the same tab)
  3. Insert a sales end time under the ticket type (under "Advanced settings").
If no sales end time is entered under the ticket type, registration will stop after the event's end time. If the event has no end time, registration will stop after the event's start time.

Why set a registration deadline?
It can be a good idea to set a registration deadline for your event for several reasons:
  1. When you know how many guests you can expect to attend your event, it is easier to plan how many resources will be used (e.g. food, drinks, tables, chairs) - this way you also avoid waste.
  2. When you know how many resources you will need, you can better budget.
  3. It will be easier for you to plan content and activities (e.g. workshops and lectures) when you know how many guests will be coming.
  4. Once you have planned your content, you can better market yourself to those who have already registered and thus avoid no-shows.
  5. It is easier to market your event with a registration deadline. For example, you can advertise an Early Bird discount for those who buy before the deadline (as opposed to those who buy at the door).

When should I set the registration deadline?
Good question, and it obviously depends on the specific event, your partners, the time of year, etc.

A rule of thumb is to always set the deadline earlier than you initially think. However, we in the event industry have learned that participants are registering later these days than before the corona pandemic - so please keep this in mind.

However, you can accommodate any reservations your ticket buyers may have by offering an Early Bird discount and/or by allowing your guests to cancel/refund themselves up until the event.

If you are selling Early Bird tickets, also set the registration deadline for these earlier than initially expected - you can always extend the deadline.
